This Privacy Policy describes how Dalebrook Place (“we”, “us”, “our”) collects, uses, discloses and protects your personal information when you visit https://dalebrookplace.co.za or make a booking with us. We process personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA) of South Africa.
By using this website or making a booking, you consent to the practices described below.

2. Information we collect
We collect the following categories of personal information:
- Identity information: name, surname, date of birth (where required for ID verification at check-in)
- Contact information: email address, mobile number, postal/billing address
- Booking information: dates of stay, number of guests, special requests, payment details (processed by our payment provider — we do not store full card numbers)
- Communications: the content of emails, WhatsApp messages, contact-form submissions and reviews you send us
- Technical information: IP address, browser type, device identifiers, pages visited, referring URL, and other data automatically collected via cookies and analytics tools (see s7)
We collect this information directly from you (when you fill in a form, make a booking, or contact us) and automatically (via website analytics).

We will not use your information for any other purpose without first obtaining your consent.
4. Who we share your information with
We share your personal information only where necessary, with the following categories of recipients (operators under POPIA):
- Soughted (property management company) — manages day-to-day operations and guest communications on our behalf
- 365villas — our booking management and channel manager platform (calendar sync, payment processing, guest communications)
- Guestwisely — guest communication automation
- Online travel agents (Airbnb, Booking.com, etc.) — only when you book via those platforms; their privacy policies apply to your data on those platforms
- Payment processors — to process card payments securely
- Google LLC (Google Analytics 4, Google Business Profile, Google Search Console) — for website analytics and search visibility; data may be transferred to the United States (see s5)
- CookieYes — for cookie consent management
- Our website host and email provider — for technical operation of the website and email
- South African authorities — where legally required (e.g. SARS, the South African Police Service in case of a lawful request)
All operators are bound by written agreements requiring them to keep your information confidential and process it only for the purposes we specify.
5. Cross-border transfers
Some of our service providers (notably Google for analytics, and certain OTA platforms) are based outside South Africa. Where personal information is transferred outside South Africa, we ensure either that the destination country has adequate data protection laws, or that the recipient is bound by appropriate contractual safeguards in line with POPIA s72.

After these periods, we will delete or anonymise the information unless we are required to retain it longer by law.

8. Your rights under POPIA
You have the following rights regarding your personal information:
- Right of access (s23): request a copy of the personal information we hold about you
- Right to correction (s24): ask us to correct information that is inaccurate, irrelevant, excessive, or out of date
- Right to deletion (s24): ask us to delete information we are no longer entitled to hold
- Right to object (s11(3)): object to processing of your information on reasonable grounds
- Right to withdraw consent: where processing is based on consent, you may withdraw that consent at any time
- Right to data portability: request that we share your information with another responsible party

To exercise any of these rights, contact our Information Officer at info@dalebrookplace.co.za. We will respond within a reasonable time, and at most within the timeframes set out in POPIA.
9. Security
We use reasonable technical and organisational measures to protect your personal information, including encrypted connections (HTTPS), access controls on our booking system, and contractual confidentiality undertakings with our operators. Despite these measures, no system is completely secure; we cannot guarantee the security of information transmitted over the internet.
If we ever discover a security compromise affecting your personal information, we will notify you and the Information Regulator as required by POPIA s22.
10. Children’s information
This website is not intended for children under 18 without parental consent. We do not knowingly collect personal information from children. If you believe we have collected information from a child without proper consent, please contact us and we will delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes will be highlighted on this page; continued use of the website after changes constitutes acceptance of the updated policy.
